Privacy notice

Draft prepared by the engineering team and pending review by counsel before launch. It describes what the site actually does today; it is not legal advice.

What this covers

This notice covers dispatchfuel.ai, the public marketing site. It does not cover the DispatchFuel.ai application, which has its own terms agreed with each carrier.

What we collect

Only what you type into one of two forms, and only when you submit it:

  • Waitlist: company name, your name, work email, phone, fleet size, truck count, fuel card provider, current TMS, what you are interested in, and any notes you add.
  • Pilot application: the same contact and fleet details plus monthly fuel spend range, fuel card provider and operating regions.
  • With each submission: the page you submitted from and any UTM campaign parameters in the link you arrived on.

We do not collect driver personal data, vehicle telematics or fuel-card transactions through this site. Those only enter the picture inside a signed pilot agreement.

Why we collect it

To contact you about DispatchFuel.ai availability, to judge whether a pilot is a fit, and to prepare for that pilot. That is the whole list. We do not sell, rent or share this data with advertisers or data brokers.

Analytics

The site is built to support Google Analytics, PostHog and Microsoft Clarity. Any that are enabled load only after the page is interactive, and the site sets no advertising cookies.

Where it is stored

Submissions are stored in a managed Postgres database (Supabase) hosted in the United States. Access requires an authenticated administrator; the public site can write a submission and cannot read any back.

How long we keep it

Waitlist and pilot records are kept until launch outreach is complete or you ask us to delete them, and reviewed at least annually after that.

Your choices

Email hello@dispatchfuel.ai to see, correct or delete what you submitted, or to unsubscribe from launch updates. We will act on a deletion request within 30 days.

Security

Traffic is encrypted in transit. Submissions are validated on the server, rate limited by network address, and screened for automated abuse. Database credentials are held in the hosting environment and never in the site's source code.

Changes

If this notice changes materially we will update the date above and, where we have your email because you joined the waitlist, tell you.
